Student Employment is limited to students who have been awarded either College Work Study or Federal College Work Study. These awards are determined at the time a student is admitted to the college and appear on the students Financial Aid Award Letter each academic year. Regulations as established and enforced by the federal government and Notre Dame College Abides by these regulations.

Work Study Guidelines:

General Guidelines

  • Work study employment is only open to students who have been awarded either federal or college work study as part of their financial aid package. Occasionally, changes in policies, regulations, and financial need may cause a student’s financial aid award to be adjusted or reduced.

  • During the semester, work study students are permitted to work a maximum of 17.5 hours per week total.

  • During breaks/vacation times, students are permitted to work a maximum of 35 hours per week.

  • Work Study Earnings:

    • IMPORTANT: It is the responsibility of the student employee and their supervisor to monitor work study earnings

    • If a student shows an overage of monies earned for fall semester, they will be permitted to apply it toward their spring semester award. Please note however, this will go against their spring award and can result in earning the spring award before the spring semester is over.

    • Once a student’s spring award has been earned, they must cease working.

    • If a work study student has not earned their full award for fall semester, it will NOT be carried over to the spring semester.

  • Time Sheets are turned in monthly to the student’s direct supervisor. An email will be sent to the student to their NDC email address regarding the due dates. Select here for the TimeSheet Microsoft Excel (30 KB)

  • Paychecks can be picked up in the Student Services Office on a monthly basis Paychecks are distributed on the last day of the month (30th or 31st). If those dates fall over the weekend, then paychecks will be available the last Friday of that month. Students must present proper ID to pick up their paychecks.

  • Students must actively apply for Work Study positions. Upon securing a Work Study position, the student employee will work with their supervisor to fill out employment paperwork and submit it to the Career Services Center in the Connelly Center.

    • Students are NOT allowed to begin work until all paperwork is complete and notification is given to your employer that the student may begin working. Students are responsible for following up with their employers to verify approval to begin working.

  • The Work Study student will receive an orientation by their supervisor to:

    • Gain general student employment procedures.

    • Be given a specific job description including supervisor’s expectations and standards.

    • Develop a clearly defined work schedule, which accommodates their course schedule and academic requirements.

    • Receive adequate training to perform assigned tasks.

    • Instructions for recording hours worked, as well as information regarding the College’s payroll procedure s and payroll calendar.

    • Instructions on how to fill out time sheets.

General Responsibilities

  1. Student employees are only permitted to study or do homework after work assignments are completed.

  2. Communicate with supervisors regarding schedule.

  3. Notify supervisor immediately if unable to attend work (via email or telephone). Link here for Supervisor Emails.

  4. Understand and abide by the Federal and College regulations. If they don’t understand them, they should ask their supervisor.

  5. Understand the expectations from individual supervisor.

  6. Notify the Career Services Center in the event of an inappropriate work environment, etc…

  7. Maintain professionalism and accuracy in all transactions with the public or campus community.

Students must actively apply for work study positions.

Assists in all aspects of art gallery operations from installation of work, unpacking, hanging, moving, and maintaining the gallery to assisting with receptions, artist’s lectures and clean-up. Good computer skills needed in preparing flyers, postcards, and announcements. Photography skills also helpful in photographing art events and art work on display. Some filing and posting of announcements and clerical work as well. This position may also include sitting in the gallery as an exhibition attendant for certain functions or times of the day. Some art experience necessary.
