Assistant Registrar for Academic Records

Start date immediately

The Assistant Registrar for Records is responsible for the day-to-day operations of the office, with the ultimate goal of enhancing service delivery to students, faculty, staff and external customers.  This full-time position requires the full understanding and active participation in fulfilling the mission of the College.  It is expected that the employee demonstrates behavior consistent with the core values and supports the Division of Enrollment Management.  Multiple tasks in management and organization are a major component with critical attention to priority and detail.

Job duties include:

  • Completes all necessary follow-up on files, correspondence and phone calls.

  • Monitors and maintains all student permanent file folder activity.

  • Is responsible for maintaining the integrity of all student records.

  • Maintains liaison relationship with the offices of Admissions, Student Accounts, and Retention for the resolution of various issues related to academic records matters.

  • Participates in registrar-related/registration functions, workshops and admissions events for prospective and admitted students.

  • Serves as 2nd tier to customer service representatives.

  • Assures communication and implementation of FERPA throughout the campus.

  • Some evenings and weekends required.

  • Professional development as required.

Required qualifications include:

  • Bachelor’s Degree*

  • At least 1 to 2 years of related experience working in a registrar, admissions or higher education setting

  • Experience working with a relational student information system and experience with student information system implementations

  • Ability to work with accuracy and diligence

  • Patience and sensitivity to deal with students and student issues

  • Ability to communicate effectively with students, faculty and staff

  • Ability to work with minimal supervision

  • Ability to manage and prioritize tasks during peak and non-peak times

*In lieu of a bachelor’s degree, applicant should have at least an associate’s degree and 5+ years of related experience.

Anticipated salary for this position is $25 - $30,000 annually

Vice-President/Dean of Online and Non-Traditional Educational Services

Notre Dame College, founded over 85 years ago by the Sisters of Notre Dame, is a Catholic four-year liberal arts institution located in South Euclid, Ohio. The College invites applications for the position of Vice-President/Dean of Online and Non-Traditional Educational Services, available as soon as an acceptable candidate is identified but no later than June 1, 2008.

This is a new position which provides the right candidate the opportunity to build a new division within the College. As such, the successful candidate will combine entrepreneurial energy with creative problem solving; build teams across organizational lines; possess sensitivity to emerging trends in the online and non-traditional educational sector; and develop programs to respond to those emerging trends consistent with the academic quality and mission of Notre Dame College.

The V-P/Dean of Online and Non-Traditional Educational Services is responsible for guiding and working with the faculty, the Vice-President of Academic Affairs, the Vice-President of Enrollment Services and the President’s Council in the management of projects and initiatives related to the delivery of online pedagogy and non-traditional educational services. One of the primary challenges will be to develop a vision and mission for online and non-traditional educational services at Notre Dame College consistent with the College’s mission to educate a diverse population in “personal, professional and global responsibility”. On a practical level, s/he collaborates with division chairs, department and program directors and faculty to provide responses for projected initiatives; to identify demand for online programs and non-traditional educational services and to design a plan for their delivery in the online, hybrid or face-to-face modes. The V-P/Dean will design and implement a marketing and recruitment plan to ensure the success of projects and initiatives.

The successful candidate will demonstrate:

  • ability to “see around corners” & ascertain the future of online and non-traditional educational services,
  • comfort in a matrix management environment,
  • capacity to work independently, setting goals, evaluating data and developing plans,
  • project management experience,
  • familiarity with teacher education issues,
  • ability to manage multiple complex projects and deadlines concurrently: set multiple priorities, analyze situations and complex data, work in a fast-paced environment,
  • strong written and communication skills,
  • at least six years of relevant experience in an academic setting, and with online and non-traditional course/program delivery,
  • track record of accomplishment as a manager of people, projects, and/or organizations,
  • advanced degree in a relevant field (doctorate preferred), and
  • willingness to travel to Notre Dame College sites in Ohio, throughout the United States, and internationally.

The College seeks an energetic person who can keep up with a fast-paced president and someone with the experience, creativity, and the vision to lead the College’s academic life. Three challenges the candidate must meet are enhancing and enriching the College’s academic and intellectual life, developing both a substantive faculty development and evaluation program, and the ability to work collaboratively with the V-P/Dean of Online and Non-traditional Educational Services in the development of online and non-traditional programs. The successful candidate will report directly to the President of the College. As the chief academic officer, the VPAA will have overall responsibility for directing all academic programs, developing the faculty both in quality and size, and supporting the faculty in their tasks of teaching, advising students, and program development.
